POSITION SUMMARY: With a wide range of knowledge, oversees the Document Control (DC) policy system, working closely with technical writing, DC implementation and configuration management staff. Researches and makes recommendations for appropriate hardware and software required for the DC system. Develops and presents DC training sessions. Duties and Responsibilities: Retrieve Customer data within the Washington Metro Area (WMA). Record and maintain pertinent data describing the material received, including the data of receipt, number of physical items, name of receiver, container barcode / tracking number and transmittal sheet tracking number. Review and prepare files and documents based on conversion requirements to include, but not limited to, arranging records in date order, removing duplicate copies, removing staples and clipping multi-page documents together. Package and return completed projects as directed by the Customer which may require returning Customer data, within the WMA. Packaging and transport of data shall comply with all of the Customer‘s security regulations, policies and procedures. Determine which scanning device will properly perform the operations depending on the type and quality of documents to be imaged. ï‚· Perform and monitor all activities required to scan the documents. Provide daily preventative maintenance (care and cleaning) of all scanning equipment as recommended by the manufacturer. Review the scanned document images electronically to verify that all pages within the document were scanned accurately and completely. The review shall include a 100% verification of each scanned page image to ascertain the image quality. Rescanning of documents will be required if the scanned images are deemed to be of poor quality of incomplete. Enter document metadata into Customer‘s automated system based on Customer‘s requirements. Metadata requirements may vary by project. Provide a quality review of the metadata to verify that the metadata is appropriate and correct for each document. For invalid metadata entries, the Subcontractor shall edit the entry and provide the correct metadata, based on the Customer‘s requirements. Indexing quality shall be tracked and provided to the Customer. Provide support to ad hoc project requirements as directed by Customer. Perform hardcopy scanning, microform scanning (e.g. microfiche, microfilm, aperture cards), oversize scanning (e.g. maps, charts, drawings) and image formatting / conversion (e.g. TIFF, JPEG, PDF, PDF/A, searchable PDF). Convert digital media (e.g. CDs, DVDs) to other formats as required by the Customer. Create and deliver encrypted copies of production data and store on portable media (CDs/DVDs/portable hard drives) as required by the Customer in accordance with Customer‘s security regulations Participate in scheduled and ad hoc meetings, briefings, and demonstrations. Deliver scanned pages in electronic format and meet scanning targets and deadlines. Required Qualifications: Typically requires a bachelor‘s degree or equivalent and two to four years of related experience. The clearance level required is dependent on the type of clearance supported by our client.
