Job Description

POSITION SUMMARY: Under limited supervision and on own initiative, performs standard and advanced secretarial duties. May work for one or more individuals in support of a department, project, or contract. Assists manager with administrative responsibilities. Position requires superior administrative and organizational skills, a thorough knowledge of practices and procedures of the function, company policy and procedures.   RESPONSIBILTIES: Answers large volume of incoming phone calls, often from senior individuals; screens as necessary. Coordinates calendar and schedules, sometimes for various individuals. Takes and transcribes highly complex and detailed dictation. Acts as a liaison with other departments and sometimes outside agencies. Creates a wide variety of documents (often complex) such as reports, spreadsheets, presentations that require expert knowledge of several software programs; often composes first drafts of documents. Maintains databases of complex and confidential departmental information. Responds to requests, distributes correspondence, circulates information, etc. , to other staff as needed, including senior staff. Processes travel expense report forms and check requests. Researches, prices and purchases office supplies. Makes complex travel arrangements. Helps to organize conferences and meetings, sometimes involving large number of attendees or complex arrangements. Trains less experienced Administrative personnel.   RESPONSIBILITIES: Maintains contract budgets for review by management. Prepares contract-billing. Estimates materials, equipment, production costs, and delivery schedules. Oversees personnel records and ensures they are up to date. Purchases equipment and supplies. Oversees facility administration. May provide guidance to less experienced project/task administrators.   Required Four years working experience in Government as either a Member of the Armed Forces, Government or contractor employee with at least two years of experience providing administrative personnel, HR, contract and logistical management and support TS/SCI Clearance At least two years of experience in a remote/deployed location. Proficient in using basic computer applications to include MS Office (Word, PowerPoint, Excel) and current information automation and dissemination (KM) tools such as SharePoint or other KM tools Capable of effectively operating as a member of a joint/combined intelligence team   Desired Education -“ Associates degree EDUCATION & EXPERIENCE: Typically requires high school diploma or equivalent, and four to five years of related experience.   PHYSICAL DEMANDS: Normal demands associated with an office environment. Ability to work on computer for long periods and communicate with individuals by telephone, email and face to face. Some travel may be required.
